Description

This position is responsible administrative and clerical work, in the County Court Criminal Division, associated with the (Simultaneous Paperless Imaging Retrieval Information Technology) SPIRIT System, and provides required training to the Judiciary, Judicial Assistants and Civil Traffic Hearing Officers in the operation of the system. SPIRIT is a technology based information system that processes Criminal and Civil Infraction traffic cases by the judiciary, and the Civil Infraction Traffic Hearing Officers. Additionally, required knowledge of technology platforms, such as ZOOM, to perform duties and functions related to court processing as related to the SPIRIT system. This position is also assigned to handle any facility related requests from the judiciary and staff and is involved with yearly judicial relocations.  This work requires the ability to multi-task and adapt to changing priorities, procedures and assignments. Frequent work contacts are with Clerk of Courts, Procurement, judiciary and staff, technical programmers and other court-related agencies in general. Will work under direct supervision of the Director of the Division.

During the COVID-19 pandemic, work will be performed partially on-site and remotely.

Responsibilities

 

Performs all assigned duties related to Administrative functions, SPIRIT training and facility requests:

  • Coordinate and conduct SPIRIT Training for new judges, judicial assistant, Hearing Officers, bailiffs and new hires in County Court Operations.
  • Draft and update judges and judicial assistants’ technical and procedure training manuals.
  • Develop test conditions and scripts for testing pertaining to judge’s SPIRIT workbench options and judicial assistants motion setting application.
  • Production testing and the subsequent coordination of roll-out of system changes and upgrades.
  • Train in equipment operation; set-up new judges and Hearing Officers in SPIRIT system.
  • Provide support to the Drive Legal Program SPIRIT scheduling system, with regards to necessary requirements to bring the program in line with SPIRIT system.
  • Research and solve problems judicial assistants encounter.
  • Participate in technical support activities.
  • Act as back-up to Calendar Administrator/Civil Traffic Hearing Officer Liaison in Calendar Workbench scheduling system
  • Provide support to the judiciary and judicial assistants on the SPIRIT system.
  • Assist Hearing Officers and judges during court.
  • Ability to provide assistance to judiciary and civil traffic hearing officers, with ZOOM/technology platform/ screen sharing function, when utilized in conjunction with SPIRIT application in court.
  • Record system requests as they pertain to the judiciary and judicial assistants and any system modifications request by users.
  • Act as a liaison between the judicial assistants and the clerk’s office.
  • Enter and maintain the judges and Hearing Officers Sentence options in SPIRIT.
  • Initiate, update and maintain identification codes for appropriate personnel using SPIRIT and the Traffic Information System (TIS).
  • Update and create charts that are received by the clerk’s office with regard to changes on fines, surcharges and cost assessment for the 11th Judicial Circuit of Florida for County Court Operations.
  • Enter and maintain the judges’ and Hearing Officers’ reports generated by the SPIRIT system, The County Court Criminal Division Cost Assessment report and the Hearing Officer Summary report.
  • Enter and update password for the appropriate personnel using SPIRIT.
  • Attends staff and other meetings as required; takes meeting minutes and provides administrative reports when requested.
  • Process all requests received by the director with regard to capital or non-capital items; obtain approval of the Administrative Judge with regard to capital item requests and forward same to the Procurement Division.
  • Provide all judiciary requests to General Services Administration (GSA) on removing old furniture from chambers and /or courtrooms.
  • Process all Judiciary request to the Building Manager on furniture deliveries. Also, assist and/or supervise the vendor in bringing new furniture to the building.
  • Process all Judiciary requests for telephone maintenance and /or new lines through the Court Information Technology Division of the (Administrative Office of the Courts) (AOC).

Qualifications

Three (3) years of related work experience.

• A Bachelor's Degree from an accredited college or University.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

  • Thorough knowledge and understanding of business English, spelling, and punctuation.
  • Ability to communicate orally and in writing; conduct presentations.
  • Ability to multi-task and adapt to new procedures.
  • Thorough knowledge of rules and procedures with regards to County Court Criminal Division.
  • Excellent administrative and clerical skills.
  • Ability to work independently and collaboratively.
  • Ability to establish and maintain effective working relationships with court-related agencies, such as Clerk of Courts, Judiciary, Procurement and technical related agencies.
  • Ability to work with minimal supervision and recognize and establish priorities.
  • Proficient in Microsoft Word, Excel, Power Point and Outlook.
  • Knowledge of computer systems such as Mocha, Criminal Justice Information System (CJIS), Traffic Information System (TIS) and SPIRIT.
  • Knowledge of technology platforms, such as ZOOM, as it related to court processing.

 

Physical Demands

Work involves a significant amount of standing, walking, sitting, talking, listening, stooping, and reaching with hands and arms; must be able to transfer up to 10 pounds.
